TECHNICAL BULLETIN #46 - Rev 1.00 (8/1/96) ============================================================================== TITLE : Fax Polling PRODUCT : PROCOMM PLUS for Windows 2.xx ============================================================================== This document describes Fax polling and its use in PROCOMM PLUS for Windows 2.x. FAX POLLING: A DEFINITION ========================= Fax polling, in its generic form, is simply a list of faxes available for retrieval at a single request. In most situations this is used as a method for new information dispersal. For example, ACME Sales has remote offices distributed throughout the state. Each morning, the remote offices have status reports to send to the home office. If each remote office attempts to send in its status report at 7:00 am, all but one of them is going to get a busy signal and be forced to retry at a later time. But if each remote office sets up a fax polling list with its daily status report as all or part of the list, the main office can call each branch office and request the faxes that are available for polling. This example could also be reversed: Each afternoon, the ACME main office creates a fax polling list containing a company wide status report. On Mondays, a weekly newsletter is also included. Each of the remote offices can call up and request these documents at their leisure. NOTE: Unlike a FaxBack system which allows the caller to request a specific fax and therefore requires prior knowledge of available faxes, each polling request causes the transmission of all documents in the polling list. FAX POLLING IN PROCOMM PLUS FOR WINDOWS 2.X =========================================== SETTING UP A FAX POLLING LIST To set up the fax polling list described in the second example with PROCOMM PLUS, the ACME main office would do the following: 1. From the Fax menu, choose the Files for Polling option. 2. Click on the Browse push-button. Highlight the files to add to the polling list and click on the OK push-button. 3. In the "Send Faxes When Polled" section, click in the On radio button to enable it. This will also set PROCOMM PLUS's Auto Answer feature to include fax. 4. Click on the OK push-button. Depending on the file types selected for the fax polling list, you may be prompted to activate the associated applications' print functions to generate fax files if Windows is unable to do it. POLLING A REMOTE SITE To place a call to another system and poll that site for faxes, perform the following steps: 1. From the Fax menu, select the Send Fax option. 2. Click on the Dialing Directory... push-button, select the entry you wish to call, and click on the OK push-button. 3. Click on the Time & Options push-button. 4. Check the Poll Remote checkbox located under the Delivery Time section. 5. Click on the Send push-button. SPECIAL OPTIONS When setting up a fax polling list in PROCOMM PLUS for Windows 2.x, you have two more options not discussed in the previous examples: AUTO When enabling fax polling, you can turn it On or set it to Auto. If you set to Auto, any faxes received after you have enabled fax polling will be added to the fax polling list. This is very useful as a method of collecting faxes to be polled by another site. REMOVE FROM POLLING LIST ONCE POLLED If the Remove from polling list once polled checkbox is enabled, the fax polling list will be cleared each time the system is polled.
